After you've successfully set up the Appointments feature & linked your calendar, you will need to create an appointment type (what we call "Scheduling Page") to give your clients the ability to book an appointment based on your calendar availability.
If you offer multiple services or you offer one service that varies in duration, you will need to create a Scheduling page for each using the instructions seen below.
Example: You are a massage therapist and you offer 30, 60, and 90-minute massages. You will need to create three appointment types (Scheduling Pages) to account for each type.
Creating a new Scheduling Page
Step 1: Add a new scheduling page
- Index Settings.
- Under Tools, select Appointments.
- Tap the + Add Scheduling Page.
Step 2: Enter the appointment details
On the "Configure appointment types" screen, you will be prompted to enter some basic information about the appointment. On the first screen you will enter the following information:
What should new events be named?
Enter the name that you want to be displayed to clients as the appointment type you offer. Note that this is required and will cause an error if left blank.
Where do events take place?
Enter the full physical address where the appointment will take place.
How long is each event?
Enter the duration of the appointment. You have the following options:
- In minutes: 15, 20, 30, 45, 60, 75, 90
- In hours: 1-23 max
When you've completed the information above, click Next. On the second screen, enter the following information:
When can events be booked?
Select the days of the week AND times you offer your appointments.
These specifics will then be available to your clients when they are booking an appointment so it's important to exclude any specific days or the week or times you aren't available.
Note: If you break for lunch or have "closed" times, you'll need to add an additional opening hour line to account for that break. Example: This business is open from 9AM-5PM Monda through Friday, but they are closed for lunch (12PM-1PM). Here's how the opening hours should be configured to account for the 1 hour of being closed:
How far in the future can events be booked?
Include how much in advance you'd like your clients to be able to see your calendar availability and book an appointment.
- 1-4 interval
- Days, weeks, months
Example: Select 4 AND the weeks option to allow clients to view your calendar (and book an appointment) 4 weeks in advance.
Once the required fields (seen in bold above) have been inputted, you can select "Create" and your appointment type will be created and instantly available to your clients to book.
Where should we create the booking page?
Once the fields (seen in italics above) have been inputted, select "Create"
Your scheduling page is now available for clients to book. You can view your newly created appointment type in the "Scheduling Pages" screen. Here's an example of a newly created scheduling page (seen by Index user):
